Configure Staff Email Notifications for Exhibitor and Sponsor Activity
Objective
Set up event staff email notifications so the team is alerted when exhibitors or sponsors take key actions such as registering, placing orders, making payments, or changing booth staff. This SOP also explains how to add staff members so they appear in the notification dropdown.
Key Steps
1. Open the Notifications Setup Area 0:09
From the Setup area, navigate to Event Setup.
Go to Step 4: Notifications.
This is where you manage which staff members receive email alerts for exhibitor and sponsor activity.
2. Review Available Notification Triggers 0:24
In the Notifications section, review the available alert types you can enable for your team.
Common notification triggers include:
New registration
New order placed
New payment on an invoice
Application submitted (if the application form is enabled)
New boost app registration
Change in booth staff
Exhibitor places themselves in a booth when booths are prepaid
Select the notifications that are relevant to your team’s workflow.
3. Add Staff Members Before Assigning Notifications 1:00
When you open a notification option, you will see a dropdown list of available email addresses.
If the person you want to notify does not appear in the list, they must be added as staff first.
Go to Settings and add the team member as staff.
After they are added, their email will appear in the notifications dropdown so you can assign alerts to them.
Cautionary Notes
Do not expect new email addresses to appear in the notification dropdown until the user has been added as staff.
Make sure the correct notification types are enabled for your event setup, especially if features like the application form or prepaid booths are in use.
Verify that staff email addresses are entered correctly to avoid missed notifications.
Tips for Efficiency
Add all relevant staff members in Settings before configuring notifications to save time.
Only enable notifications that your team truly needs to reduce inbox clutter.
Review notification settings after any staffing changes to ensure the right people continue receiving alerts.
