SOP: Publish and Control Access to the Exhibitor Sign-Up Flow


Objective


This SOP explains how to launch the exhibitor sign-up flow by publishing the unique sign-up link on your event website and marketing channels. It also covers how to close or disable registration when needed to control access.

Key Steps

 

1. Locate the exhibitor sign-up link in Event Setup 0:27

  • Open the event portal and navigate to Event Setup.

  • Find the Sign Up Link at the top of the page.

  • Confirm that the portal has generated a unique exhibitor sign-up URL for the event.

  • Copy the link so it can be used on your website and in marketing materials.

 

2. Publish the sign-up link on your event website and campaigns 0:44

  • Add a clear call-to-action on the event page, such as: 

    • Exhibit Now

    • Sponsor Sign Up

  • Create a button or hyperlink for that call-to-action.

  • Link the button to the copied exhibitor sign-up URL from Event Setup.

  • Share the same link in email marketing campaigns and other promotional channels as needed.

 

3. Confirm the event is live once the link is distributed 1:06

  • Once the sign-up link is published on your website or sent through email, the event is considered live.

  • Test the link to ensure it opens the correct exhibitor sign-up flow.

  • Verify that users can access the registration experience as intended.

 

4. Disable or close registration when needed 1:16

  • If registration should no longer be available, go to Event Setup and open the Registration Flow step.

  • Disable the registration flow if you want to prevent new sign-ups.

  • If applicable, toggle Paid Registration off as part of closing registration.

  • Confirm that the public link now shows registration closed or a blank page, depending on the setup.

 

5. Manage launch and closure timing intentionally 1:46

  • Use the exhibitor sign-up link only when you are ready for attendees/exhibitors to begin registering.

  • Keep registration disabled until the launch date if you need to control timing.

  • Re-enable the flow only when you are prepared to accept sign-ups again.

Cautionary Notes

  • Do not publish the sign-up link before you are ready to accept registrations.

  • If the registration flow is disabled, users who click the link may see a closed message or blank page.

  • Make sure the button or campaign link points to the correct unique URL for the event.

  • If paid registration is not intended, verify that it is toggled off before launch.

Tips for Efficiency

  • Save the exhibitor sign-up URL in a shared document for quick access.

  • Use consistent CTA wording across your website and email campaigns.

  • Test the link in an incognito/private browser window before announcing it publicly.

  • If you plan to close registration later, prepare the disable step in advance so it can be executed quickly.
