SOP: Set Up Expo Genie Lead Scanning and Booth Staff Access
Objective
This SOP explains how to configure an Expo Genie lead scanning campaign, add custom qualifier questions, invite booth staff, and begin scanning leads using the mobile app. It also covers how to review and export scanned leads from the web dashboard.
Key Steps
1. Log in to Expo Genie and open the campaign setup 0:14
Log in to Expo Genie using the credentials provided in the welcome email.
Confirm that the dashboard is empty if no leads have been scanned yet.
From the web app, open the lead campaign you want to configure.
Prepare to set up both the campaign questions and booth staff access.
2. Review event details and configure custom qualifier questions 0:45
Open the campaign edit screen in the web app.
Review the basic event details and badge data fields provided by the show organizer.
Go to the custom qualifier questions section.
Enable any prebuilt example questions if they fit your needs.
Or create your own questions, such as:
"Was this a hot lead?"
Response type: yes/no, dropdown, or open text.
Save the qualifier question setup before moving on.
3. Add booth staff and assign user roles 1:39
Select Add New User to invite booth personnel.
Enter the staff member’s name, company email, and password if required.
Choose the correct user role:
Exhibitor Admin: can access the web app for setup and reporting.
Staff: can access the mobile app only.
Assign the correct campaign role:
Supervisor Booth: can view all leads scanned by the onsite team.
Booth Personnel: can view only the leads they personally scanned.
Send the welcome email and campaign association email to the staff member.
4. Understand campaign structure before adding more locations 2:33
Treat each campaign as a separate bucket for leads.
Use one campaign for most events unless you need separate reporting.
Create a second campaign only if you need to separate leads by:
Different booths
Booth vs. speaking session
Other distinct lead capture locations
Save changes once the campaign structure is confirmed.
5. Confirm setup is complete and ready for scanning 2:59
Return to the campaign overview after saving changes.
Verify that the campaign is active and booth staff have been added.
Add any additional booth personnel if needed.
Confirm the team is ready to begin scanning leads on-site.
6. Log in to the mobile app and start scanning badges 3:10
Open the Expo Genie mobile app on the booth staff device.
Log in using the assigned staff credentials.
Confirm the lead counter shows zero before scanning begins.
Tap the plus icon and select Scan QR Code.
Allow the phone camera to open and scan attendee badges one by one.
Repeat the process for each attendee encountered at the booth.
7. Complete custom qualifier questions during lead capture 3:50
After scanning a badge, submit the lead.
When prompted, choose whether to proceed into the custom qualifier questions.
Answer the enabled qualifier questions for that attendee.
Save or submit the completed lead record before moving to the next scan.
8. Monitor leads in the web dashboard and export reports 4:13
Return to the web application to review the live dashboard.
Confirm that scanned leads appear in real time.
Open the report section to review captured lead data.
Use Export Selected to download the lead list whenever needed.
Share exported reports with the appropriate internal team members.
Cautionary Notes
Ensure each staff member is assigned the correct role before sending invitations.
Double-check campaign setup before the event starts to avoid missing lead data.
Use separate campaigns only when reporting needs truly require separation.
Confirm mobile app login credentials work before the booth opens.
Make sure custom qualifier questions are finalized before scanning begins, so staff know what to ask.
Tips for Efficiency
Set up the campaign and staff access before the event day to avoid delays.
Keep qualifier questions short and easy for booth staff to answer quickly.
Use supervisor access for a lead manager who needs visibility into all scans.
Test one badge scan before the booth opens to confirm the camera and workflow work correctly.
Export reports regularly during or after the event to keep lead follow-up organized.
