SOP: Expo Genie Lead Scanning for Event Booth Teams


Objective


This SOP explains how booth staff can use the Expo Genie web app and mobile app to scan, qualify, annotate, and export leads during an event. The goal is to capture accurate lead data quickly and make it available for immediate follow-up in CRM and marketing systems.

Key Steps

 

1. Confirm access to the web dashboard and mobile app 0:12

  • Log in to the web application using the admin/company account.

  • Confirm the dashboard loads and displays event activity.

  • Verify the event name and current scanning status are correct.

  • Ensure booth staff have the mobile app installed on iOS or Android devices before the event starts.

 

2. Review the dashboard before scanning begins 0:24

  • Check the dashboard for initial lead-scanning activity.

  • Confirm which booth members have already started scanning.

  • Use the dashboard to verify the correct event is selected.

  • Make sure the team understands that the web app is typically used by admins and managers for oversight and reporting.

 

3. Open the mobile app and verify readiness 0:48

  • Launch the mobile app on the scanning device.

  • Confirm the app is connected and ready to scan.

  • Check that lead totals are at zero or reflect the current event status before scanning begins.

  • If needed, sign in or confirm the correct user profile is active.

 

4. Scan a badge using QR code capture 1:04

  • Tap the plus (+) button in the center menu.

  • Select Scan QR Code.

  • Allow the phone camera to open.

  • Point the camera at the attendee badge QR code until the lead data is captured.

  • Review the scanned record before moving to the next badge.

 

5. Qualify the lead using custom questions 1:19

  • After scanning, choose whether to continue scanning or qualify the lead.

  • If time allows, open the lead’s qualification form.

  • Answer any custom qualifier questions enabled by the admin.

  • Submit the completed qualification data.

  • If needed, return later to finish unanswered questions.

 

6. Add audio notes for important conversations 1:57

  • After scanning a lead, tap the microphone button in the lower-right corner.

  • Speak clearly and record a summary of the conversation.

  • Include follow-up details, interests, or next steps.

  • Save the audio note so it syncs to the web application.

  • Use audio notes when typing is too slow during busy event periods.

 

7. Continue scanning additional leads 2:21

  • Return to the scanning screen after saving notes or qualifications.

  • Repeat the scan process for each new attendee badge.

  • Monitor the lead count to confirm scans are being recorded.

  • Keep scanning throughout the event to capture as many qualified leads as possible.

 

8. Export leads from the mobile app when needed 2:33

  • Tap the download/export icon in the mobile app.

  • Export the current lead list to an Excel file.

  • Email or transfer the file as needed for internal use.

  • Use this option anytime during the event; do not wait until the end of the show.

 

9. Refresh the web dashboard to confirm synced data 2:51

  • Return to the web application.

  • Refresh the dashboard to view updated scan totals.

  • Confirm that all active booth staff are reflected in the report.

  • Verify that mobile scans and notes are syncing correctly to the web platform.

 

10. Review reports and export leads from the web app 3:00

  • Open the report view in the web application.

  • Review the summary of booth personnel and the number of badges scanned by each person.

  • Scroll through the list of scanned leads to confirm records are complete.

  • Select leads and export them to Excel when needed.

  • Use the exported file for CRM import or marketing automation follow-up.

 

11. Move exported leads into follow-up systems 3:33

  • Import the exported Excel file into your CRM.

  • Upload or sync the file to your marketing automation platform.

  • Prioritize fast follow-up while the event conversation is still fresh.

  • Use lead notes and qualification data to segment outreach appropriately.


Cautionary Notes

  • Do not rely on end-of-show exports only. Leads can be exported at any time during the event.

  • Make sure the correct event and user account are selected before scanning to avoid misfiled leads.

  • Custom qualifier questions must be enabled by the admin in the web application before they can be used on mobile.

  • Audio notes should be spoken clearly and saved before leaving the lead record.

  • Confirm sync status periodically so no scans are missed due to device or connectivity issues.


Tips for Efficiency

  • Use the mobile app for real-time scanning and the web app for oversight and exports.

  • Capture notes with audio recording instead of typing during busy booth traffic.

  • Qualify leads immediately when possible to reduce post-event cleanup.

  • Export leads throughout the show to support same-day follow-up.

  • Refresh the dashboard regularly to monitor team performance and scan totals.

  • Keep scanning devices charged and ready to avoid interruptions.
