SOP: Add and Manage Exhibitor Resources in the Event Admin Portal
Objective
This SOP explains how to upload and organize exhibitor resources in the event admin portal so exhibitors can easily access reference documents without relying on mass email distribution. It ensures resources are available in one central location and clearly separated from action-based tasks.
Key Steps
1. Understand What Belongs in Resources 0:02
Use the Resources tab for referential information only.
Examples include:
Pre-event documents
On-site instructions
General exhibitor reference files
Resources are meant to be available for viewing or download, not completed by the exhibitor.
2. Distinguish Resources from Tasks 0:31
Confirm whether the item is a resource or a task before uploading.
Use Tasks for items exhibitors must act on to fulfill their exhibitor or sponsorship requirements.
Use Resources for items that are simply FYI or informational.
This helps keep exhibitor communication organized and prevents confusion.
3. Navigate to the Resources Tab 0:50
From the Event Admin area, open Content.
Select the dedicated Resources sub-tab.
Verify you are in the correct section before adding files.
4. Add a New Resource 0:59
Click Add New.
Enter a clear label for the resource.
Upload the file you want exhibitors to access.
Save the entry.
Confirm the resource appears in the Resources tab after upload.
Cautionary Notes
Do not place action-required items in Resources; those belong in Tasks.
Avoid uploading outdated files, since exhibitors may rely on the latest version.
Use clear labels so exhibitors can quickly identify the correct document.
Make sure uploaded files are appropriate for exhibitor access before publishing.
Tips for Efficiency
Centralize all exhibitor reference documents in Resources to reduce repetitive email requests.
Keep file names and labels consistent for easier searching and recognition.
Review resources periodically to remove outdated versions and keep the tab current.
Upload commonly requested documents first so exhibitors can self-serve immediately.
