SOP: Managing and Editing an Interactive Floor Plan

Objective


This SOP explains how to access, edit, and enhance an interactive floor plan after the initial PDF-to-interactive build is completed. It is designed to help team members make booth adjustments, apply labels/tags, and use sharing/embed tools confidently and consistently.


Key Steps


1. Prepare the Floor Plan for Build 0:02

  • If this is the first setup, send a high-resolution PDF of the floor plan to the support/build team.

  • Wait for the initial interactive floor plan build to be completed before making edits.

  • Confirm the floor plan has been converted into an interactive version before proceeding.


2. Access Floor Plan Settings and Sharing Options 0:21

  • Navigate to the Floor Plan area in the platform.

  • Review available settings such as: 

    • Public floor plan link for sharing without login.

    • Maximum booth selection limit for exhibitors.

    • Default zoom level for initial viewing.

  • Use these settings only when needed; most day-to-day work happens in the editor.


3. Use the Floor Plan Editor for Most Changes 1:04

  • Open the Floor Plan Editor to make booth and layout changes.

  • Use this area for the majority of adjustments, including booth movement, resizing, rotation, and labeling.

  • Treat the editor as the primary workspace for maintaining the interactive map.


4. Use Top Toolbar Tools for Quick Actions 1:19

  • Use the toolbar for common actions such as: 

    • Zoom in / zoom out

    • Undo / redo

    • Delete

  • Use the image icon to add hosted images, logos, or arrows as draggable and resizable interactive elements.

  • Use the embed/iFrame icon to copy code for placing the live floor plan on a website.

  • Use the public link option to share a view-only version with anyone who has the link.


5. Move, Resize, Rotate, and Duplicate Booths 2:54

  • Click and drag a booth to reposition it.

  • Resize or rotate booths as needed.

  • Use right-click hotkeys when available for faster editing.

  • Duplicate booths when needed (for example, to create a similar booth layout) and then adjust placement.


6. Make Bulk Changes to Multiple Booths 3:54

  • Select multiple booths by clicking and dragging across them.

  • Apply changes in bulk instead of editing each booth individually when possible.

  • Bulk-edit common properties such as: 

    • Booth color

    • Position

    • Other booth settings

  • Use this method to save time when updating clusters of booths.


7. Fine-Tune Booth Placement with Keyboard Controls 4:32

  • Use the mouse to place booths roughly where they belong.

  • Use the arrow keys for small, precise adjustments when alignment is difficult.

  • Zoom in to improve snapping accuracy and make placement easier.

  • Use keyboard nudges when a booth is only slightly off position.


8. Select Booths Correctly for Editing 5:23

  • Make sure the cursor covers the entire booth area when selecting.

  • If selecting multiple booths, ensure the selection box is wide enough to include all intended booths.

  • Do not worry about perfect precision; partial overlap will still select the booths within the covered area.

  • If booths are not clustered together, use multi-select methods instead of dragging across the whole map.


9. Select Non-Adjacent Booths Using Shift 6:10

  • Hold Shift while clicking booths that are not next to each other.

  • Continue holding Shift to add additional booths to the selection.

  • Use this method to apply the same change to scattered booths without selecting everything in between.

  • This is especially useful for color updates or shared property changes.


10. Edit Booth Properties from the Right Panel 6:36

  • Click a booth to open its settings in the right-side panel.

  • Update booth details such as: 

    • Booth number or label

    • Occupied/unoccupied colors

    • Font size

    • Booth shape (for example, circle)

    • Booth dimensions

  • Use exact dimensions here when drag-and-drop placement is not precise enough.


11. Apply Legend Labels for One-to-One Booth Classification 8:08

  • Use legend labels when a booth should belong to a single named category.

  • Examples include premium, gold, silver, or island booth classifications.

  • Create the legend label through the Manage option.

  • If needed, enable color override to assign a unique unoccupied color while keeping the occupied color consistent across booths.

  • Confirm the legend appears correctly on the exhibitor/attendee-facing floor plan.


12. Add Tags for Multi-Category Booth Identification 9:29

  • Use tags when a booth needs multiple identifiers.

  • Tags do not use color overrides.

  • Add multiple tags to the same booth when needed.

  • Use tags to help users search or filter booths by product, brand, or category.


13. Adjust Advanced Booth Styling When Needed 10:00

  • Use advanced settings only for special formatting needs.

  • Available options include: 

    • Changing opacity

    • Changing border/line color

    • Increasing line thickness

    • Rounding corners

  • Use these settings sparingly, as they are typically not needed for standard booth edits.


14. Create Simple Text Callouts Using Booth Styling 10:26

  • Use a booth as a text placeholder when you need to label something like an entrance.

  • Set the booth label to the desired text and apply it.

  • Remove the booth border using advanced settings if the border should not appear.

  • Increase font size and reposition/rotate the element as needed.

  • Use this method for quick callouts when a CAD/static-layer update is not practical.

Cautionary Notes

  • Do not re-upload the static layer unless necessary; this is usually not recommended.

  • Be careful when selecting booths—ensure the cursor or selection box includes the full intended area.

  • When using color overrides, keep the occupied color consistent unless there is a specific reason to change it.

  • Advanced settings should be used only when standard booth editing tools are insufficient.

  • Public links and embed codes expose the live floor plan, so share them intentionally.

Tips for Efficiency

  • Use bulk selection whenever multiple booths need the same update.

  • Use Shift-click to select scattered booths without dragging across the entire map.

  • Zoom in before making precise placement adjustments.

  • Use arrow keys for micro-adjustments instead of repeatedly dragging with the mouse.

  • Use exact booth dimensions in the settings panel when alignment must be perfect.

  • Use the public link for quick sharing and the embed code for website display of the live floor plan.
