SOP: End-to-End Exhibitor Signup Flow Test


Objective


Verify that the exhibitor signup flow works correctly from the user’s perspective and the admin’s perspective. This SOP ensures registration, email notifications, portal access, invoice generation, and admin records are all functioning as expected.

Key Steps

 

1. Open the exhibitor signup link in an incognito browser 0:00

  • Go to the event setup area and copy the exhibitor signup link.

  • Open an incognito/private browser window to simulate a first-time user.

  • Use an email address you can access so you can confirm verification, welcome, and receipt emails.

 

2. Complete the exhibitor registration form 0:23

  • Search for the exhibitor company name in the signup form.

  • If the company does not exist, continue with a test company name so the form can still be completed.

  • Enter a test contact name and a valid email address you can access.

  • Leave any non-required fields blank to keep the test simple and focused.

 

3. Select a package, booth, and add-ons 1:06

  • Choose an exhibitor package, such as a sponsorship level.

  • Select an available booth number.

  • Add optional items if needed, such as an additional booth staff pass.

  • Review the cart to confirm the selected items are correct before continuing.

 

4. Enter billing details and submit the order 1:31

  • Enter billing information using the same details provided in the registration form.

  • If the test is set to generate an invoice, choose the invoice option.

  • If testing credit card processing, submit a small test payment (for example, $1) to confirm the payment posts correctly.

  • Place the order and confirm the registration completes successfully.

 

5. Verify the email confirmation and account verification flow 2:01

  • Check the inbox for the verification email sent to the new user.

  • Open the verification email and confirm the email address.

  • Confirm that verification automatically redirects the user into the Exhibitor Portal.

  • Verify the portal opens successfully and displays the new user account.

 

6. Confirm exhibitor portal access and order details 2:33

  • Review the Exhibitor Portal to ensure the user can log in and navigate normally.

  • Confirm the open balance appears correctly for the purchase.

  • Verify the booth number is displayed as expected.

  • Check that the portal reflects the completed registration accurately.

 

7. Review the sales receipt and invoice email 2:55

  • Locate the sales receipt or invoice-related email sent after registration.

  • Confirm the email content matches the expected template.

  • Open the attached invoice and verify the invoice details are correct.

  • If changes are needed, note that the invoice notification email template can be updated in the admin area.

 

8. Review and update email templates if needed 3:17

  • In the admin area, navigate to Content > Email Templates.

  • Review the invoice notification email template if the invoice email needs changes.

  • Navigate to Content > Invoice Editor to update the invoice template if needed.

  • Review the welcome email template under Content > Email Templates > Welcome Email Templates.

  • Make any necessary edits so future exhibitor emails match the desired format.

 

9. Verify the welcome email 3:51

  • Check for the welcome email sent to the new exhibitor.

  • Confirm the email provides ongoing access information for the Exhibitor Portal.

  • Verify the content and branding are correct.

  • Update the welcome email template in the admin area if adjustments are needed.

 

10. Confirm the order appears in admin records 4:34

  • In the admin area, navigate to Shop Orders.

  • Find the order placed by the test company.

  • Review the invoice and confirm the order details are accurate.

  • Make any necessary edits or adjustments from the admin side.

 

11. Confirm the company record was created 5:02

  • Navigate to Companies in the admin area.

  • Locate the newly created test company record.

  • Confirm the company was created based on the purchase.

  • Use reports or related admin tools to verify the company appears in downstream reporting as expected.

Cautionary Notes

  • Use an email address you can access so you can verify all messages during testing.

  • If testing payment processing, use a controlled test amount and confirm the payment posts to the correct account.

  • Leave only non-required fields blank; required fields must still be completed for the flow to work.

  • Ensure the booth selected is available before submitting the order.

  • If the user is redirected to the Exhibitor Portal unexpectedly, confirm this is the intended behavior after email verification.

Tips for Efficiency

  • Use an incognito window to avoid cached sessions or saved logins affecting the test.

  • Keep a checklist of expected outputs: verification email, welcome email, receipt/invoice, portal access, admin order, and company record.

  • Use a consistent test company name and test email format so records are easy to find later.

  • If you are only validating the signup flow, choose invoice generation instead of payment processing to reduce test complexity.

  • Capture screenshots of each major step if you need to document issues for the team.
