SOP: Test Exhibitor and Sponsorship Signup Flow Before Launch
Objective
Verify that the exhibitor and sponsorship signup flow works correctly from the end-user perspective before launch. This SOP ensures registration fields, packages, floor plan rules, add-ons, discount codes, checkout settings, and payment processing are all configured and functioning as intended.
Key Steps
1. Test the signup flow in preview and incognito mode 0:02
Open the exhibitor/sponsorship signup flow in Preview first.
Copy the live signup link and open it in an incognito/private browser window.
Confirm you are not logged in as an admin so you can test the experience exactly as an end user would.
2. Review the registration form fields 0:32
Check that all intended fields appear on the registration form.
Confirm each field is set to required or optional correctly.
Verify the field order matches the desired user experience.
Make sure the form content is complete and accurate before moving on.
3. Validate sponsorship packages and booth-only options 0:55
Confirm that all sponsorship packages have been created.
Check whether you have options for:
Booth/exhibitor only
Sponsorship only
Combined packages
Review each package for:
Correct pricing
Accurate descriptions
Purchase limits or quantity restrictions
Ensure no package is missing from the signup flow.
4. Test floor plan booth availability and pricing rules 2:07
Open the floor plan and verify booths are actually for sale.
Click individual booths and confirm they show a price instead of only appearing as an unpurchasable object.
Check booth descriptions and pricing accuracy.
Test booth access rules tied to sponsorship levels:
Add the correct package to the cart.
Remove conflicting items if needed.
Confirm eligible sponsors can select the correct booths.
Confirm ineligible sponsors cannot select restricted booths.
Test every booth-selection scenario you expect exhibitors to encounter.
5. Confirm booth quantity limits and complimentary booth logic 3:10
Verify the maximum number of booths an exhibitor can select.
Test the limit based on your configuration:
One booth only
Two booths
Unlimited booths
Add booths up to the allowed limit and confirm the system blocks additional selections when appropriate.
Test complimentary booth rules:
Add the qualifying sponsorship package to the cart.
Navigate to the complimentary booth type.
Confirm the booth is not charged separately when it should be included in the package.
6. Review add-ons for completeness and accuracy 3:55
Confirm all add-ons appear in the flow.
Check each add-on for:
Correct image
Proper stock/availability
Accurate pricing
Clear description
Verify add-ons display and behave as expected before checkout.
7. Test the review cart and discount code functionality 4:11
Review the cart page to confirm discount code behavior.
Determine whether discount codes should be:
Enabled, or
Disabled in advanced settings
If discount codes are enabled, apply a test code and confirm the discount is calculated correctly.
Verify the cart total updates properly after the code is applied.
8. Verify checkout fields and payment settings 4:36
Review the checkout page and confirm all required billing fields are present.
Check that each billing field is correctly marked as required or optional.
Validate payment configuration, including:
Pay later options
Credit card only requirements
Partial payment settings
Ensure the checkout flow matches your intended payment policy.
9. Run a live payment test 5:13
Create a small test purchase, such as a $1 package.
Add it to the cart and complete checkout using a real credit card.
Confirm the payment processes successfully.
Check your account or reporting area to verify the payment appears in the correct place.
Document any issues found and correct them before launch.
Cautionary Notes
Always test in an incognito/private window to avoid admin-session bias.
Do not assume package, booth, or add-on rules are working until they are tested end-to-end.
Be careful when testing live payments; use a small-dollar test item to minimize risk.
If discount codes are not intended, ensure they are disabled in advanced settings.
Re-test after any configuration change to confirm the flow still works correctly.
Tips for Efficiency
Use a checklist for each scenario so you can quickly confirm what has been tested.
Test the most complex rules first, such as booth eligibility and complimentary booth logic.
Keep a few predefined test packages and discount codes ready for validation.
Use a small test product for payment verification instead of a full-priced item.
Record any failures immediately so fixes can be made before the final launch review.
