SOP: Create and Configure Exhibitor Add-Ons for the Signup Flow
Objective
This SOP explains how to create add-ons that exhibitors or sponsors can purchase during the signup flow. It covers where to find the add-on settings, how to configure pricing and visibility, and how to apply optional workflow rules such as quantity limits or registration limit increases.
Key Steps
1. Navigate to the Add-Ons Area 0:54
Go to Shop → Products.
Under Packages, select Add-ons.
Click Add New to begin creating a new add-on.
Use this area when you want to offer optional items that can be purchased during exhibitor or sponsor checkout.
2. Enter the Core Add-On Details 1:05
Add a clear label for the item.
Set the price.
Enter the available quantity/stock for the add-on.
Upload an image to help identify the item.
Add a short description and, if needed, a long description.
Review the available advanced options before saving.
3. Organize Add-Ons with Groups 1:23
If you have multiple add-ons, place them into groups to keep the signup flow organized.
Groups can be set to appear expanded or collapsed by default.
To change the default group state, go to Event Setup → Advanced Settings.
Find Open groups by default and enable or disable it based on how you want the exhibitor to view the list.
4. Set Purchase Limits and Visibility Rules 2:10
Use maximum quantity to limit how many units a single exhibitor can buy.
Use level visibility to show the add-on only to specific exhibitor/sponsor levels.
Use exhibitor visibility to restrict the add-on to one specific company.
Add tags if you need a way to categorize or filter the add-on later.
Apply these settings only when the add-on should be restricted to a specific audience.
5. Configure Optional Workflow Actions 3:41
If needed, assign a task that triggers when the add-on is purchased.
Optionally reassign the level if the purchase should override the exhibitor’s original package level.
Use workflow actions carefully, since these are typically only needed in special cases.
Confirm whether the add-on should affect the exhibitor’s permissions or registration status before enabling these options.
6. Use Add-Ons to Increase Registration Limits 3:58
Create add-ons for items such as additional booth staff passes.
Set the add-on so that purchasing it increases the exhibitor’s booth staff registration limit.
Example: if gold sponsors receive 4 complimentary booth staff passes, create an add-on that adds 1 more pass per purchase.
This is a scaling setting, so buying 2 units increases the limit by 2, and so on.
7. Save, Reorder, and Verify the Add-On 4:35
Save the add-on after all settings are complete.
Reorder add-ons if needed using the available arrangement controls.
Click Save Position after changing the order.
Confirm the add-on appears in the exhibitor signup flow as expected.
Cautionary Notes
Do not confuse maximum quantity per exhibitor with the total stock available.
Level visibility and exhibitor visibility are restrictive settings; only use them when the add-on should be hidden from most users.
Reassigning levels or changing workflow behavior can affect downstream permissions, so test carefully before publishing.
If you use groups, verify whether they should be expanded or collapsed by default so the exhibitor experience is clear.
Add-ons are optional items and do not require a level assignment like packages do.
Tips for Efficiency
Reuse the same structure you use for packages to speed up setup.
Create groups when you have many add-ons to make the checkout flow easier to scan.
Use descriptive labels like "Additional Booth Staff Pass" so exhibitors understand the purchase instantly.
Set visibility rules only when necessary to reduce configuration complexity.
Test one add-on end-to-end in the signup flow before creating a large batch of similar items.
