Resend Welcome Email and Reset User Passwords


Objective


This SOP explains how to resend a welcome email to one or more users and how to initiate a password reset from the admin area. It also notes the self-service password reset option available to users from the login page.

Key Steps

 

1. Navigate to the Users area 0:14

  • Go to Companies.

  • Select Users.

  • From here, you can manage individual users or select multiple users for bulk actions.

 

2. Select the user or users 0:21

  • Click on a single user to work with one account.

  • If needed, select multiple users to perform the same action in bulk.

  • Confirm the correct user(s) are selected before continuing.

 

3. Open the Actions menu and resend the welcome email 0:28

  • Locate the Action drop-down menu.

  • Choose the option to send/resend the welcome email.

  • Review the available email templates before sending.

  • If custom welcome email templates have been created, they will appear in this list as well.

 

4. Reset a user's password from the same area 0:36

  • Use the same Action drop-down menu.

  • Select the option to reset the user's password.

  • This action immediately sends the password reset email to the selected user(s).

 

5. Use the self-service forgot password option 0:50

  • If a user cannot log in because their password is incorrect, direct them to the login page.

  • Have them click the Forgot Password link.

  • They can complete the password reset themselves without admin intervention.


Cautionary Notes

  • Verify the selected user(s) before sending a welcome email or password reset to avoid notifying the wrong account.

  • Bulk actions affect all selected users, so double-check selections when working with multiple accounts.

  • A password reset email is sent immediately after the admin action is chosen.

  • If custom templates exist, make sure the correct welcome email template is selected before sending.


Tips for Efficiency

  • Use bulk selection when multiple users need the same welcome email or password reset.

  • Keep approved custom welcome email templates ready so you can send the correct version quickly.

  • For users who can access the login page, the Forgot Password link is often the fastest self-service option.

  • Standardize when admins should resend welcome emails versus when users should use self-service password reset.
