SOP: Edit Company Records and Manage Company Settings


Objective


This SOP explains how to edit a company record, update company-specific settings, and handle duplicate company records when necessary. It is designed to help team members quickly locate the correct settings, apply overrides, and safely merge or delete duplicate companies.


Key Steps

 

1. Open the Company Record to Edit 0:01

  • Go to Companies in the left navigation.

  • Select the company record you want to update (for example, Zillow).

  • Click Edit to open the company profile.

  • Review the available tabs before making changes: 

    • Basic: company name and level

    • Additional Information: extra fields and custom fields

    • Company Settings: company-specific configuration options

 

2. Update Basic Company Information and Custom Fields 0:19

  • Use the Basic tab to confirm or update: 

    • Company name

    • Company level

  • Use the Additional Information tab to review or update stored custom fields.

  • Enter any missing company details that should be saved on the record for future use.

 

3. Add or Override Booth Details 0:40

  • Open the Company Settings area and locate Booth Details.

  • Upload booth-related assets if they are already available, such as: 

    • Company logo

    • Company description

    • Website

  • Use this section to pre-populate the company’s booth information on the floor plan.

  • If the exhibitor has not provided these items yet, they can upload them later from the tasks page.

 

4. Adjust Booth Staff Settings 1:13

  • Go to Booth Staff Settings within Company Settings.

  • Review the automatically assigned booth staff allocation based on company level and purchases.

  • Add or override booth staff passes when needed.

  • Example action: 

    • Grant an additional 3 booth staff passes if the company needs more than the default allocation.

 

5. Override Booth, Package, or Add-On Limits When Needed 1:35

  • Open Booth and Product Settings if you need to override global limits.

  • Use this section only for exceptions, such as when a company needs more than the standard allowed quantity.

  • Common override actions include: 

    • Increasing the number of booths a company can purchase

    • Marking a company as prepaid so they are not charged for booth selection

    • Overriding the number of packages they can select

    • Overriding the number of add-ons they can select

  • Confirm the override matches the approved exception before saving.

 

6. Review Duplicate Companies Before Merging 2:20

  • Check whether duplicate company records exist.

  • Before merging, determine whether the duplicate record contains any useful data.

  • If the duplicate has no important data, delete the duplicate instead of merging.

  • Only proceed with a merge if both records contain meaningful data that must be preserved.

 

7. Merge Duplicate Companies Safely 3:15

  • In the merge tool, identify the source company (the company being merged from and deleted).

  • Select the target company (the company being kept).

  • Review each merge option carefully: 

    • Choose whether to replace or add data

    • Skip any fields that should not be combined

  • Confirm whether the original company should be deleted after the merge.

  • Complete the merge only after verifying that all important booth, sponsorship, and task data will be preserved correctly.


Cautionary Notes

  • Do not merge companies unless necessary. If the duplicate has no useful data, delete it instead.

  • Verify the source and target companies carefully before merging to avoid losing data.

  • Be cautious with overrides such as booth limits, prepaid status, packages, and add-ons, since these settings can affect billing and floor plan placement.

  • Confirm uploaded booth details are accurate before saving, especially logos, descriptions, and websites.

  • Review all merge options before finalizing, since some actions may replace existing data rather than add to it.


Tips for Efficiency

  • Use the Company Settings area to pre-fill booth information when assets are already available, saving the exhibitor time later.

  • Apply overrides only when a company has an approved exception to the global rules.

  • If a duplicate record has no activity or data, delete it immediately instead of spending time merging.

  • When merging, review the records with the most activity first so you can decide whether data should be replaced, added, or skipped.

  • Keep a quick checklist for merge decisions: source company, target company, data to preserve, delete after merge.
