Post-Test Admin Review Before Launching Exhibitor and Sponsorship Sales


Objective


Use this SOP to complete a final admin-side review after testing the exhibitor sign-up flow. The goal is to confirm that company records, orders, invoices, payments, and reports are all working correctly before launching booths and sponsorship sales.


Key Steps

 

1. Confirm the exhibitor test flow is complete 0:01

  • Verify that the exhibitor sign-up flow has been fully tested end to end.

  • Confirm there were no issues during testing before moving into launch preparation.

  • Treat this as the final checkpoint before opening booth and sponsorship sales.

 

2. Review submitted exhibitor information in the admin area 0:39

  • Switch back to the event admin role after completing exhibitor-side testing.

  • Open the admin area and locate the company record created during testing.

  • Review the company details to confirm the submitted information appears correctly.

  • Check for any missing, incorrect, or unexpected data that may need correction before launch.

 

3. Inspect the test order and generated invoice 0:54

  • Navigate to the shop area in the admin dashboard.

  • Open the test order created during the exhibitor flow.

  • Review the order details to ensure the purchase was recorded properly.

  • Open the generated invoice and confirm it looks accurate and complete.

  • Verify that pricing, line items, and invoice formatting are correct.

 

4. Run and validate key reports 1:08

  • Go to the reports section in the admin area.

  • Run reports for invoices to confirm billing records are being captured correctly.

  • Run payment reports if a test payment was processed.

  • Review the booth staff report if booth staff registration was tested.

  • Confirm the reports display the expected test data and are usable for ongoing operations.

 

5. Prepare for ongoing admin monitoring after launch 1:16

  • Familiarize yourself with the admin navigation you will use frequently once exhibitors and sponsors begin signing up.

  • Use the completed test flow as a reference for what normal submissions, orders, and reports should look like.

  • Be ready to revisit company records, orders, invoices, payments, and staff reports regularly after launch.


Cautionary Notes

  • Do not launch booths or sponsorship sales until the full exhibitor test flow has been completed without issues.

  • If any company data, order details, invoice values, or report outputs look incorrect, resolve the issue before going live.

  • Make sure you are reviewing the admin-side records, not only the exhibitor-side experience.

  • Test data should be clearly identified so it is not confused with real exhibitor or sponsor records.


Tips for Efficiency

  • Use the same test account and test order throughout the process so records are easy to find.

  • Review the company record, order, invoice, and reports in one session to catch issues faster.

  • Keep a checklist of what was tested so you can quickly confirm each item before launch.

  • Save screenshots or notes of any issues found during testing for faster troubleshooting.
