SOP: Set Booth Purchase Limits for Exhibitors on the Floor Plan

Objective

This SOP explains how to control the maximum number of booths an exhibitor can purchase using three override levels: global floor plan settings, level-based settings, and individual company settings. Use this procedure to apply consistent booth limits while allowing exceptions when needed.

Key Steps

 

1. Set the global booth limit on the floor plan 0:01

  • Navigate to the Floor Plan.

  • Click Settings.

  • Locate Number of Allowed Booths per User.

  • Enter a value to apply a global limit across all exhibitors.

  • Example: 

    • If set to 1, every exhibitor is limited to 1 booth.

  • Leave the field blank if you want to allow unlimited booths at the global level.

 

2. Use level-based booth limits for assigned exhibitor tiers 0:40

  • Open the exhibitor Level configuration.

  • Select the relevant level, such as Platinum.

  • Find the Limit the Number of Allowed Booths option.

  • Set the booth limit for that level as needed.

  • Remember: 

    • Every company/exhibitor is assigned a level.

    • Level settings can include multiple attributes, including booth limits.

 

3. Understand how level settings override global settings 1:01

  • If both a global limit and a level limit are set, the level limit takes priority.

  • Example: 

    • Global limit = 1

    • Level limit = 2

    • Result: exhibitors assigned to that level can purchase 2 booths.

  • Use this method when a specific tier should have a different allowance than the default floor plan setting.

 

4. Override booth limits for an individual company 1:20

  • Open the specific Company record.

  • Go to Company Settings.

  • Select Booth and Product Settings.

  • Locate Number of Allowed Booths.

  • Enter a custom booth limit for that company.

  • Use this when one exhibitor needs a special allowance beyond the standard global or level limit.

 

5. Confirm the priority order before saving changes 1:49

  • Apply booth limits in this order of precedence: 

    1. Company-level setting

    2. Level-level setting

    3. Global floor plan setting

  • The more specific setting overrides the broader one.

  • Verify the intended limit before saving to avoid accidental restrictions or over-allocation.

Cautionary Notes

  • Do not assume the global setting always applies; level and company settings can override it.

  • Blank global limits mean unlimited booths, so confirm whether that is intended.

  • Check the assigned level for each company before troubleshooting booth limit behavior.

  • Be careful when changing limits for high-value exhibitors, as incorrect settings may prevent them from purchasing the correct number of booths.

Tips for Efficiency

  • Set a global default first, then adjust only the exceptions at the level or company level.

  • Use level-based limits for groups of exhibitors that share the same booth allowance.

  • Reserve company-level overrides for special cases to reduce manual maintenance.

  • Document any exceptions so future team members understand why a company has a custom limit.
