SOP: Configure the Registration Form for the Signup Flow


Objective


Set up and customize the first step of the signup flow (the registration form) by editing labels, adding or modifying fields, controlling visibility and requirements, and organizing the form layout for a clear user experience.

Key Steps

 

1. Open the Registration Form Settings 0:01

  • Navigate to Admin > Event Setup.

  • Open the Registration Flow step.

  • Locate the Register box in the signup flow.

  • Click the edit icon under Register to modify the step label and description.

 

2. Update the Step Label and Description 0:08

  • Enter a new label if needed (for example, Exhibitor Application).

  • Add descriptive text to explain the step.

  • Confirm the description appears below the step on the page as intended.

 

3. Manage Form Fields in Forms > Company Fields 0:43

  • Go to Forms > Company Fields to create, rearrange, hide, or edit fields.

  • Review the field badges to identify whether each field is a company field or a user field.

  • Decide where each piece of data should be stored: 

    • Company field = stored on the company record.

    • User field = stored on the user record.

 

4. Create a New Field 1:39

  • Add a new field by selecting the appropriate record type (company or user).

  • Enter a clear label for the field.

  • Choose the field type based on the data you need: 

    • Single-line text

    • Text area

    • Email

    • Dropdown

    • Checkbox

    • File upload

  • Use a descriptive field name so team members can easily understand its purpose.

 

5. Configure Dropdown Field Options 2:13

  • If the field type is Dropdown, open Settings.

  • Add each option one at a time and press Enter after each value.

  • Example options for dietary preference: 

    • Vegetarian

    • Paleo

    • Other relevant choices

  • Add a placeholder or help text if needed (for example, “Make a selection”).

 

6. Configure File Upload Field Settings 2:54

  • If the field type is File Upload, open Settings.

  • Define acceptable file types: 

    • Leave blank to allow any file type.

    • Specify a file type such as PDF to restrict uploads.

  • Set a file size limit if needed.

  • Confirm the upload rules match the intended use case.

 

7. Set Field Visibility and Requirement Rules 3:43

  • Decide whether the field should be required.

  • Turn on Display on the registration form if attendees should complete the field themselves.

  • Turn off display if the field is meant for internal use only.

  • Use hidden/internal fields to store data on company or user records without exposing them to registrants.

 

8. Reorder Fields on the Form 4:38

  • Drag and drop the field to the desired position on the registration form.

  • Place important fields higher in the form for better visibility.

  • Group related fields together for a smoother user experience.

 

9. Save and Verify the New Field 4:42

  • Click Save after making changes.

  • Open the Preview of the registration form.

  • Refresh the preview to confirm the new field appears correctly.

  • Verify: 

    • The field label displays correctly.

    • Help text appears as expected.

    • Dropdown options are available.

    • Required fields show an asterisk.

 

10. Add a Section Header Using Line Break Text 5:13

  • To create a visual divider or section header, add a Line Break Text item.

  • Enter a header label such as Primary Contact Information.

  • Enable Display on the registration form.

  • Add the header text in the description field.

  • Format the text as needed (for example, bold, underlined, or larger text).

 

11. Position and Save the Section Header 6:01

  • Drag the line break text item to the desired location on the form.

  • Place it above the fields it should group together.

  • Click Save.

  • Refresh the preview to confirm the section header appears and separates the form into clear sections.

Cautionary Notes

  • Do not confuse company fields with user fields; each stores data in a different record.

  • If a field is marked required, users must complete it before continuing.

  • If Display on the registration form is turned off, the field will not be visible to registrants.

  • For file uploads, restricting file types will block all other formats from being uploaded.

  • Line break text is not a true data field; it is used only for layout and organization.

Tips for Efficiency

  • Plan field placement before creating too many fields to reduce rework.

  • Use dropdowns for standardized answers to keep data clean and consistent.

  • Add help text for any field that may need clarification.

  • Use internal-only fields for CRM-style data you want to store without showing to users.

  • Group related fields with line break text to make the form easier to scan and complete.
