Configure Checkout and Payment Options for Exhibitor/Sponsor Registration


Objective


Set up the checkout experience so exhibitors and sponsors can review their cart, enter billing details, and complete payment using the appropriate payment methods. This SOP covers configuring pay-later and credit card options in the admin panel.

Key Steps

 

1. Review the checkout flow before configuring payment methods 0:08

  • Confirm the checkout process includes a review cart area where exhibitors/sponsors can see what they added.

  • Verify the checkout page allows users to enter billing information.

  • Ensure the checkout experience supports the intended payment methods before publishing the form.

 

2. Access payment method settings in the admin panel 0:40

  • From the admin area, navigate to: 

    • Shop

    • Payment Methods

  • Use this section to configure which payment options appear during checkout.

  • Review the available methods before making changes so you understand what is already enabled.

 

3. Configure the pay-later option 0:55

  • Locate the default Pay Later payment method.

  • Rename it if needed to match your organization’s wording, such as: 

    • Send an Invoice

    • Invoice Me Later

  • Update the description to explain what happens next, for example: 

    • The booking is completed without immediate payment.

    • An invoice will be generated after checkout.

    • Payment can be made later by check, ACH, or another offline method.

  • Save the changes and confirm the label appears correctly in checkout.

 

4. Configure the credit card payment option 1:48

  • Locate the Pay Now or credit card payment method.

  • Review the available processors: 

    • Stripe

    • Authorize.net

    • PayPal

  • If using Stripe, connect it directly from the payment method settings and complete the login/authentication flow.

  • If using Authorize.net or PayPal, coordinate setup with the onboarding/contact team so the required account details can be entered.

  • Update the payment label and description if needed so users clearly understand they are paying by credit card.

 

5. Decide which payment methods should be active 2:31

  • Determine whether to enable: 

    • Only Pay Later

    • Only Credit Card

    • Both options

  • Enable only the methods that match your business process and customer payment policy.

  • Save the final configuration and test the checkout page to confirm the correct options display.

Cautionary Notes

  • Do not enable payment methods that your organization is not prepared to process.

  • If using offline payment methods like check or ACH, make sure the invoice workflow is clearly communicated.

  • Confirm processor credentials are correct before testing live payments.

  • If multiple payment methods are enabled, verify the labels and descriptions are clear to avoid confusion at checkout.

Tips for Efficiency

  • Use consistent language across the checkout page and invoice communications.

  • Keep payment method descriptions short and easy to understand.

  • Test each enabled payment option in a staging or test environment before going live.

  • If your team frequently uses one payment flow, set that as the default and disable unnecessary options to reduce user confusion.
