SOP: Create Sponsorship Packages in the Exhibitor Sign-Up Flow


Objective


This SOP explains how to create and configure sponsorship packages in the exhibitor sign-up flow so team members can set pricing, availability, levels, descriptions, and workflow rules correctly. It also covers how to position the package in the sign-up experience and verify it appears properly in the preview.

Key Steps

 

1. Understand how packages affect the sign-up flow 0:01

  • Review the package options available in the exhibitor sign-up flow, such as Platinum, Gold, Silver, or Booth Only.

  • Confirm whether the item should function as a sponsorship package, exhibitor-only option, or a combination.

  • Understand that the selected package can affect: 

    • Which booths are available on the floor plan

    • Which add-ons are shown or hidden

    • The level assigned to the company

    • Pricing behavior for booths and complimentary items

 

2. Navigate to the Products area in Event Admin 1:53

  • Go to Event Admin.

  • Open Shop.

  • Select Products.

  • Use the Packages section to create sponsorship packages.

  • Use the Add-ons section only for supplemental items, not primary sponsorship packages.

 

3. Create a new sponsorship package 2:05

  • Click to create a new product in the Packages area.

  • Enter a clear label for the package, such as Bronze Sponsor.

  • Set the price for the sponsorship.

  • Save the item as a draft if it is not ready to publish yet.

 

4. Set package availability and assign the required level 2:25

  • Define how many units of the package are available in stock.

  • Set the quantity based on the number of sponsorship opportunities available.

  • Assign the correct level to the package.

  • Remember that every exhibitor/sponsor must have exactly one level, and the selected package determines that level.

  • Use the level to control permissions such as booth selection, booth staff allocation, booth pricing, and task visibility.

 

5. Add package details for the exhibitor-facing display 3:39

  • Upload an image for the package if available.

  • Add a short description for quick display in the sign-up flow.

  • Add a long description for more detailed information.

  • Treat this as building an online version of the prospectus so users can compare package options easily.

 

6. Configure advanced package options 4:06

  • Add the package to a group if you want to organize related items into collapsible folders.

  • Set a maximum quantity per company so the same company cannot select the package more than once.

  • Add tags for reporting and filtering, such as tagging items as sponsor products.

  • Use tags to separate sponsorship products from booth add-ons or other product types.

 

7. Set workflow rules tied to the package 5:08

  • Define what should happen when the package is purchased.

  • Link booths to the package if certain booth types should be included.

  • Assign tasks that should only appear to purchasers of that package.

  • Optionally apply priority points if your organization uses a priority-based exhibitor ranking system.

 

8. Save the package and arrange its display order 6:04

  • Save the new sponsorship package.

  • Confirm it appears in the package list.

  • Drag and drop the package into the correct position in the list.

  • Place it in the intended order, such as after Silver Sponsorship.

  • Save the updated position.

 

9. Preview the sign-up flow and verify the package 6:28

  • Open the sign-up flow preview in a new tab.

  • Refresh the page to load the latest changes.

  • Confirm the new package appears in the exhibitor sign-up flow.

  • Verify the image, description, and pricing display correctly.

  • If no image was added, confirm the placeholder image appears as expected.

Cautionary Notes

  • Do not skip level assignment. Every package must assign a level because the level controls permissions and exhibitor behavior.

  • Be careful with pricing rules. Package selection can zero out booth pricing or change booth availability depending on configuration.

  • Limit quantity intentionally. If the package is limited, set stock correctly to avoid overselling sponsorship opportunities.

  • Use maximum quantity per company when a package should only be selected once per organization.

  • Workflow rules can affect visibility. Assigning booths or tasks incorrectly may expose items to the wrong users.

  • Preview after every major change to confirm the package displays and behaves as expected.

Tips for Efficiency

  • Use consistent naming conventions for package labels and levels, such as Bronze, Silver, Gold, and Platinum.

  • Prepare images and descriptions before creating the package to speed up setup.

  • Use tags consistently so reporting is easier later.

  • Group related packages together to make the sign-up flow easier for exhibitors to navigate.

  • Save and preview frequently to catch configuration issues early.

  • If a package has special booth or task rules, document those rules outside the system so the setup can be repeated accurately.
